e-FREELANCE Protocol
Typically the procedure will be as follows:
- Client firm sends paper file or digital copyØ to the service firm.
- If a paper file is provided, the default arrangement will be for it to be scannedœ and sent back to client firm. Alternatively, for bulky files, or by agreement, the paper file will be retained for the duration of the e-FREELANCE contract by the service firm.
- Incoming correspondence and faxes received by the client firm during the duration of the e-FREELANCE contract will be scanned and emailed, or faxed to the service firm. Bulkier items such as medical records can be posted to and scanned by the service firm before being returned to the client firm for lodging, or sent directly to court.
- The service firm will email completed outgoing work to the client firm for printing on the client firm's letterhead and for direct issue by the client firm. Contact details on all outgoing mail can include email address, direct dial telephone, and fax number for the service firm's case handler.
- The client firm's support staff will divert any residual¹ email and telephone calls received by the client firm in connection with delegated cases to the service firm.
- Outgoing telephone calls will be made directly by the service firm and at their cost.
- All outgoing work generated by the service firm will typically be issued by email to the client firm. There will be no need and therefore no charge for posts and incidents.
- The service firm will charge at an agreed hourly rate for their services, which will be tailored to undercut the client firm's agreed rate with their client.
- The e-FREELANCE service will cater for ongoing supervision of all delegated work by the client firm's designated client care partner. Outgoing work can be sent by email to this partner for approval, before printing and issue by support staff.
- The e-FREELANCE service will bring tripartite benefits to the parties involved.
Ø At the client firm's request, a secure encrypted email link
will be set up between that firm and the service firm prior to data transmission
or at any time during the currency of the e-FREELANCE service, to ensure
the security of electronic data.
œ The service firm's digital files will backed up on at least
a daily basis to a remote server utilising military grade 448 bit encryption
prior to transmission of data.
¹ This task will be less of a burden on the client firm if
they decide to include the service firm's case handler's contact details
on outgoing mail.
